About eCTAS Coordinators
eCTAS is a provincial electronic triage Decision Support Tool that supports the standardized application of Canadian Triage Acuity Scale (CTAS) guidelines in Emergency Rooms across Ontario. It supports Triage Nurses in documenting patient triage information consistently and accurately in order to obtain a standardized CTAS score. eCTAS is available in multiple integration levels suited to the clinical processes and technical systems of hospitals across the province. As eCTAS Coordinator you are the point person for both clinical application users (Triage Nurses) and hospital operational support resources (Clinical Leads, Technical Leads, etc.) on all operational matters relating to eCTAS. The scope of eCTAS Coordinator responsibilities includes managing and/or delegating operational activities related to: communications, user access, technical items, data and reporting, and privacy and security. eCTAS Coordinators must work with hospital operational support resources at their hospital to fulfill these responsibilities, maintain eCTAS and resolve issues that may arise. For example, a Triage Nurse may report a technical issue to another support role at your hospital such as an eCTAS Clinical Leads or Technical Leads. As eCTAS Coordinator, you must coordinate with these roles to investigate, troubleshoot and/or escalate the issue as required to resolve it.
eCTAS Coordinator Responsibilities
Communications
- Review ATC Monthly Newsletter
- Attend eCTAS Coordinator Calls (call dates and times are posted on the Access to Care (ATC) Information Site Call Calendar)
- Disseminate relevant information, communications and issues to hospital resources (announcements, updates, issues, etc.)
- Access, maintain and distribute information and documents on the ATC Information Site to hospital operational support resources as required
- Maintain contact details for hospital operational support resources via Facility Roles on the ATC Information Site
- Field user inquiries and escalate issues as required
- Liaise with hospital ERNI Coordinators to address informational indicator discrepancies in a timely manner and create a resolution plan where appropriate
- Champion the use of eCTAS as a Decision Support Tool for standardized provincial application of CTAS guidelines
User Access
- Identifying eCTAS user access requirements at your facility
- Liaise with eCTAS Facility Role Administrators as required to fulfill user access requirements and resolve issues
- Communicate user access requirements and changes to the eCTAS Facility Role Administrator
- Escalate and/or respond to issues raised by eCTAS users at your facility
- Delegate operational responsibilities to hospital operational support resources at your facility
Technical
- Communicate and share documentation on technical requirements, system maintenance and support details with Hospital Technical Resources
- Ensure message errors are resolved within required operational time frames
- Ensure downtime and recovery issues are resolved with minimal disruption
- Escalate technical issues as required to maintain system performance
Data and Reporting
- Work with hospital resources on a case by case basis to review and monitor data to identify trends such as variance in volumes or CTAS scores
- Review eCTAS informational indicators to monitor trends and potential challenges with using the tools
Privacy and Security
- Coordinate with hospital resources to ensure ongoing compliance with eCTAS privacy and security requirements
